Building AI agents: n8n, Claude or Copilot?
Short answer: You can build AI agents with n8n when a fixed process with AI steps is enough, with Claude when the agent should decide for itself which tools to use, and with Copilot when your work already lives in Microsoft 365. Which tool fits depends less on technology than on three questions: how fixed is the process, where does your data live, and who approves at the end?
First: what is an agent?
An AI agent gets a goal, works out the steps itself and uses tools such as a mailbox, CRM or calendar to get there. A chatbot only answers. Classic automation runs the same chain every time. Many things sold as agents are really automations with one AI step in the middle. That is not bad, it is often the better solution. You just should know what you are building. A longer explanation is on my page about AI agents.
n8n: when the process is fixed
n8n is a tool where you click together processes as a chain of blocks: a mail arrives, AI classifies it, a CRM entry is created, a notification goes out. You can run it yourself, and it ships with many connectors to common systems.
It fits when you can describe the process in one sentence and it runs the same way each time. It fits less when the path depends on the result of the previous step and you end up maintaining twenty branches. At that point you are rebuilding an agent by hand.
Claude: when the agent should decide
With a model like Claude you give the agent tools and a goal and let it choose the order in which it uses them. That pays off for tasks that do not fit a fixed flow: understand a request, find the right documents, write a draft, ask a follow-up question when something is missing.
It takes some development work: connecting tools, setting permissions, writing logs. In return you get the most freedom in design and a free choice of where data is processed. The model choice stays open too, and a setup with a swappable model protects you from lock-in.
Copilot: when you live in Microsoft 365
Copilot and its agent features sit directly in Outlook, Teams, Word and SharePoint. The advantage is the closeness to your documents and a permission model you already maintain. The price is that you work within what the vendor provides. For tasks outside Microsoft 365, such as your industry-specific system, you hit limits sooner.
Three questions before you decide
- How fixed is the process? Always the same: n8n. Depends on the content: more likely an agent with a model like Claude.
- Where does your data live? In Microsoft 365: Copilot is the obvious choice. Spread across several systems: n8n or a custom agent.
- What may the agent do alone? This is the most important question, and tools do not answer it for you.
Gated autonomy: whatever you build with
The same principle applies on every path. The agent works on its own up to a gate, and a person decides there. Reading, sorting, drafting: automatic. Sending, paying, deleting: only after approval. Give the agent its own account with the narrowest permissions it needs and log every call. Treat content from emails and documents as data, not as instructions, otherwise someone outside can slip foreign commands to your agent.
Where I would start
Pick a single process that runs often and whose result someone reads anyway, such as pre-sorting the inbox. Measure the time it costs today. Then build the smallest version that reduces that time, and only extend it once it holds up in daily use. One agent that holds up is worth more than five half-finished ones. More on the approach is in the roadmap AI for business.
If you do not want to build it yourself
I build AI agents for businesses, with fixed approval points and at a price range you know in advance. Whether n8n, a custom agent or an extension of your existing software makes sense, we clarify in the free 15-minute first call. The call is non-binding, and I will tell you if a simpler solution is enough for your case. The price ranges for apps and software are on the pricing page.
